With the current commercial real estate climate, there are many incentives to relocate. If you make the decision that now is the time to make a move, here are some thoughts to help you prepare to complete your move with as little business disruption as possible.
The initial decision to move your business is only the first of many steps. I recommend that my clients who are considering relocation start the process between eighteen months to a year before their current lease is up for renewal. If you are to have a solid plan in place for your move, it’s not too early to start the planning process in tandem with your location search. Starting to plan the logistics of the move too late will almost guarantee that stress and chaos will ensue.
Every corporate relocation involves the coordination of many moving parts. You will not only be relocating your business, but all of your business records, equipment and employees.
The first step in creating a moving plan includes making an inventory and checklist for all of the furniture, fixtures and equipment that will make the move. This is an excellent time to evaluate all of your furniture and equipment. Chances are there are things that need to be discarded or replaced rather than moved. The same is true for files and client records. Now is the time to discard records that no longer need to be retained and have those that should be kept converted to electronic storage.
After you’ve determined what needs to be moved, you can research and request quotes from movers that specialize in moving your type of business. Also, determine and plan for technology and service needs at the new location.
It’s important to keep the human factor in mind, too. While there may be enthusiasm and excitement about moving to a new, updated space, moving will change everyone’s daily routine. From commuting distance to parking arrangements to lunch spots, employees will have questions and concerns that will need to be addressed.
Remember that, in the middle of your move, you will still need to carry on business as usual. Your goal is to make the physical move with no business disruption. The key to achieving this goal is in the planning stage. If you have planned carefully and created systems and contingency plans, then your move will go much smoother. The unexpected is bound to occur, but planning ahead will minimize the impact.
